Overview

The Knowledge and Operations Manager supports the Communications division of Syneos Health in the pursuit and conversion of new business by managing the day‐to‐day compilation, creation, organization, storage, and delivery of information across our agencies. As a member of the Growth Engine team, the KOM works closely with internal team members to align knowledge/operations initiatives to support the achievement of Communication’s new business objectives and deliver upon requests from across the network in an efficient, smart and timely manner.

 

A successful KOM is a self-starter that is extremely detail‐oriented, inquisitive, an active‐listener, proactive and professional communicator (verbal and written), as well as able to take direction and follow process and has strong organizational principles and methodologies. The KOM is proficient in learning or has experience with software and system platforms such as Office 365 suite, SharePoint, Teams, Salesforce.com, Ariba, and Mural. This team member is also eager to learn about business development, healthcare communications, and the pharmaceutical industry. The KOM has the ability to lead and collaborate on projects from planning to execution, multi-task, prioritize and pivot, and manage time appropriately to support meeting the Growth Engine team’s mission of helping teams secure opportunities and advance conversion efforts by connecting them to the people, products, and processes that help fuel ideas and achieve positive outcomes.

 

Responsibilities

  • Knowledge and collaboration portals management
    • Collects necessary information from different parts of the organization that needs to be stored centrally
    • Reviews presentations and submissions to extract reusable content
    • Content management and archiving
    • Maintains organized file/folder architecture with consistent nomenclature
    • Responds to requests from across the organization for information, files, case studies, and experience, etc.
    • Builds relationships with key points of contact as necessary to be able to update, retrieve, collect, and disseminate relevant content
    • Initiate and support the development of tools, technology and resources to house and automate access to critical business development assets (credentials, capabilities, case studies, relationships, individual agency and global partner information) and educate on their proper usage and/or SOPs
    • Proactively analyze, identify, and fill content gaps by collaborating with internal teams across Syneos Health to mine and refine data and information
    • Manage and update content to align with changing landscape of the organization to ensure validity and accuracy
  • Development of case studies, company credentials, RFI/RFP questionnaires
    • Maintains an organized case study library
    • Writes new case study content based on business needs
    • Reviews, digests and understands RFI/RFP requirements
    • Researches and gathers information to write RFI and RFP responses
    • Manages submissions through client platforms
    • Works with the Growth Engine team to engage other internal stakeholders for information when necessary
  • Maintains working knowledge of Syneos Health solutions and resources and points of contact for support and/or subject matter expertise
  • Establish new or revise SOPs to improve ways of working related to knowledge management and operations
  • On an as-needed basis, support Growth Engine team members in the management of their assigned pitch opportunities by providing case study suggestions, competitive agency and LinkedIn audits, collecting and revising biographies, etc.

Job Requirements

  • Bachelor’s degree in business, marketing, or communications
  • Minimum 3-5 year of agency, marketing, or organization/operations-related experience
  • Possibly 0-1+ direct reports
  • Preferably based in Columbus, Ohio (although remote can be considered)
  • Partners closely with other Growth Engine team members to support ongoing knowledge management and operations and business development efforts
  • Collaborates with other internal teams such as business technology, HR, finance as well as external platform and subscription vendors in the management of necessary support solutions
  • Excellent writing, storytelling, and interpersonal communication skills
  • Effectively multi-tasks, establishes clear expectations, delegates and manages workload for yourself and others as appropriate
  • Ability to engage with employees at levels above/below and laterally within the organization
  • Natural collaborator dedicated to continued expansion of Syneos Health connectivity across the global organization
  • High computer proficiency in full Microsoft Office 365 suite (PowerPoint, Word, Excel) including Teams and SharePoint, Salesforce.com proficiency is also preferred but not required
  • Demonstrates a commitment to fostering a team environment across functions and develops strong relationships with internal team
  • Adapts well to new or changes in situations and environments and can handle ambiguity
