The Operations Manager is an integral member of the Operations team, providing teams with a proactive and overarching view of all business within their sleeve.  This role is a key lead with operational responsibilities to support optimal financial stewardship, staff mix and utilization, and adherence to agency process. The Operations Manager reports directly to the SVP, Operations and partners closely with project and account management teams, and has the authority to make financial and business decisions on behalf of the operations team.

(Duties include, but not limited to the following)

Operates as a partner to Project and Account Management leads across relevant accounts, focused on the following key areas:

  • Financial Management

    • Provide financial oversight and support across brands in their sleeve including analysis, status gathering and reporting

    • Attends and participates in weekly and monthly financial meetings including those to set revenue forecast, review project burn, track hours by employee, review revenue risks and key performance indicators for the business

    • Support Finance and Operations team members on ad-hoc finance-related tasks and requests

    • Triage requests for operational  investments, or pro-bono/non-client billable projects with the SVP Operations


  • Staffing

    • Supports staff planning in collaboration with SVP Operations and discipline leads. Provides recommendations on an ongoing basis based on respective team’s forecast and utilization

    • Tracks and manages staffing for assigned business based on workloads, monthly forecast requirements, and profitability

    • Routes and reviews requests for new hires, participates in recruiting status meetings and acts as liaison to HR and Recruiting teams

  • Process and Training:

    • Champion of the agency process and financial process,  responsible for identifying and proactively implementing process improvements

    • Serves as primary contact / resource for employee training on operational processes and systems, including timesheets and expenses, as well as financial processes and reports

    • Ensures agency adherence to operational processes such as timesheet and expense entry, and adherence to financial deadlines

Job Requirements

  • Bachelor’s Degree from a four-year university

  • 5-10 years Project Management/Finance/Agency experience

  • Has a solid business sense and is able to understand and drive agency financial priorities

  • Is highly organized and demonstrates strong attention to detail and the ability to multi-task

  • Demonstrates strong critical thinking skills with the ability to make decisions under time pressure and/or with limited information

  • Has and maintains a solid knowledge of agency and financial process standards

  • Has excellent interpersonal skills and is able to communicate complex concepts to stakeholders at all levels and disciplines

  • Advanced Excel skills preferred
