This position is an integral member of the Agency Operations Team providing agency resource management. The role is to identify the appropriate creative resources for client projects, pitch/RFP work and to ensure the creative team is reaching utilization goals while focused on financial stewardship. The Creative Operations Manager partners with the Creative Leads and has the authority to make talent-to-task and operational decisions. This position will represent Creative in project estimates and timeline creation.

Responsibilities

(Duties may include, but not limited to all or some of the following)

  • Coordinates resourcing needs with Project Managers based on resource requests
  • Connectivity across Syneos Agencies to support cross-office resourcing as needed
  • Operates as the Creative Leadership’s business partner across all accounts to support creative staffing
  • Manages creative resource workloads, and has insight into creative resource schedules (for example, vacations, in-person client meetings, photo shoots, video shoots, and market research).
  • Works closely with the Project Management team to troubleshoot any timing or resource issues that may arise during the execution of a project.
  • Provides recommendations on an ongoing basis based on respective team’s workload.
  • Tracks and manages utilization and resource schedules with the authority to reallocate resources due to workloads, brand conflicts and best-fit talent-to-task.
  • Secures access to specialized resource needs including but not limited to design, conceptual, content, digital/technical, medical, and additional resources as needed.
  • Manages flexible creative resource needs (conceptual talent, contract employees). Serves as primary contact/operational resource for temporary employees within their sleeve of business and helps manage their day-to-day workload throughout contract including agency process training, new employee tech set-up and on-boarding with appropriate team members.
  • Schedules internal creative reviews as requested.
  • Champion of the agency process, mentor for new hires/temporary employees.
  • Provides insight into current workload /creative resource utilization following bi-weekly reviews with the Operations Lead to ensure that full-time employees are being optimally utilized.
  • Quickly able to prioritize short-term resourcing needs by collaborating during team meetings as necessary.
  • Routes requests for operational / non-client billable projects and supports production as needed. These requests include internal creative group projects and cross-departmental projects (GSW internal leadership / communication and events, passion accounts planning and execution, GSW external advertising, award show entries, and creative intern program facilitation).

Job Requirements

  • Graduate of a relevant post-secondary degree or certificate program.
  • 3-5 years Creative Services/Agency experience.

  • Excellent interpersonal communication skills with the ability to work with complex personalities.
  • Ability to make decisions under time pressure and/or with limited information.
  • Has and maintains a solid knowledge of agency and creative process standards.
  • Is highly organized and demonstrates strong attention to detail and the ability to multi-task.
  • Has a solid business sense and is able to understand and drive agency financial priorities.
  • Has a deep understanding of each creative team members’ skill set, and basic understanding of skill sets
