Ensures that accounting and reporting policies and/or guidelines comply with the Project Reconciliation Supervisor's instructions, industry practices and client regulations.

Description of Duties

• Ensures client guidelines and business rules are followed
• Process and code vendor invoices through AP
• Obtains and tracks receipts for all charges made through Corporate American Express card (CMC)
• Reviews and submits Corporate American Express card (CMC) expenses with receipts in Concur
• Ensures all out-of-pocket costs are within compliance
• Files all out-of-pocket meeting receipts in shared project folders
• Tracks and reports all out-of-pocket expenses for executed meetings in SPARK
• Tracks all program updates in TAG (tactical analytical grid)
• Mails and tracks honoraria and travel expense payments to speakers
• Financially reconciles and closes programs in client meeting management portal
• Pulls back-up documentation for reconciliations and audits
• Pulls back-up documentations for internal team members as it relates to programs
• Collect W9 tax forms if they are not in our database.
• Manage meeting attendees in registration management portal
• Sunshine State Reporting
• Ability to meet established deadlines
• Ability to communicate clearly and effectively with logistics and account services
• All other tasks as needed and approved by manager

Minimum Requirements

- College Degree
- Internship experience preferred
- Proficiency in Microsoft Office applications
- Proficiency in American Express systems, preferred
