Description

Global Medical Meetings and Events (GMME), a department of Cadent, and Division of Syneos Health, consists of 45 employees who engage with clients at every point in the product life cycle to plan a variety of medical meetings such as speaker bureau programs, investigator meetings, scientific advisory boards, symposia, steering committee meetings, and global conference support. As part of our service, we provide comprehensive planning support to include attendee invitation and confirmation management, hotel sourcing, food and beverage coordination, ground transportation, flight arrangements, audiovisual services, on-site support, meeting material development, and the handling of attendee honoraria and travel-related expenses.

The reconciliation specialist plays an integral role within the meeting team to handle the reconciliation of costs associated with client meetings held in North America. The reconciliation specialist will become knowledgeable on pharmaceutical guidelines working closely with cross functional groups within the organization to include medical meetings, compliance, legal, and finance. This position requires the ability to apply independent judgement and critical thinking skills to address conflicts that arise and be able to translate into workable solutions.

Key Job Responsibilities:

(Duties include but are not limited to the following)

  • Access Client Meeting Planning Systems to Manage and Track Costs
  • Utilize reconciliation software and tools to automate and enhance efficiency of reconciliation tasks
  • Upload receipts and invoices for travel, flight, ground
  • Audit all occurred programs and update client portal with final expenses and attendees lists for closure
  • Financially close all events occurred in client system ensuring all costs have been correctly captured.
  • Access Internal Syneos Health systems
  • Process and code expense reimbursement through Accounts Payable
  • Process Honoraria Requests through Accounts Payable (W9, Electronic Payment Form, Tiers)
  • Mail and track wire transfers and travel expense and Honoraria payments to speakers
  • Work directly with HCP who request information on payments
  • Process and code vendor invoices through Accounts Payable
  • Set up all new vendors in Oracle
  • Work with vendor regarding any discrepancies on invoices
  • Set up internal PO for all vendor invoices over $5K
  • Track all expenses on internal tracker
  • Follow up with Accounts Payable on unpaid payments
  • File all receipts and payments into individual program folders
  • Work directly with program managers and program specialists to obtain vendor receipts for backup

Job Qualifications:

Required

  • College degree in finance, accounting, business, or related field
  • 1–2 years’ work-related experience
  • English language fluency – both written and spoken
  • Proficiency in Microsoft Office applications
  • Proficiency in Concur, Salesforce, Oracle Systems
  • Open to learn and use new technology platforms

Preferred

  • Experience working in a logistics, pharmaceutical or healthcare industry
