Description

Job Summary:

As a Fleet Analyst, you’ll focus on the management of 4,000 vehicles and ensure the proper transportation, inventory levels, ordering, and disposal.  You will work directly with multiple vendors, Client Services, HR, and Finance. You will contribute to creating and driving initiatives that make the fleet more cost effective, while helping to retain profitability

You will also support the fleet and transport mailboxes by managing inquiries and status requests

Scope of Interactions:

  • 60% Internal – Collaboration with Client Services, HR and Finance
  • 40% External – Collaboration with multiple external vendors

Job Responsibilities

  • Review and analyze the use of out of network shops for maintenance
  • Analyze fuel purchases outside of regular unleaded
  • Determine if registration requirements not being fulfilled by drivers
  • Review and analyze drivers not assigned to a vehicle in the system
  • Monitor fuel compliance reports and file fraud paperwork as well as communicate with drivers for compliance
  • Manages the spouse/domestic partner driver qualification program and creates reports for Payroll
  • Audit secondary driver report to ensure drivers are receiving proper personal use deductions
  • Manage analysis of miles per gallon per vehicle
  • Analyze calls to Wheels call center to determine calls patterns for possibility of additional communication
  • Review and analyze maintenance costs per vehicle and model
  • Analyze toll violations and ensure transponder is ordered and assigned
  • Research missing information
  • Track terms against vehicle pickups by PARS and Fleet Street
  • Analyze transportation condition reports for damage, and missing keys and alert fleet safety for points assessment 
  • Track and update the direct client rosters
  • Create the backup preparation for the pass-through billing of direct clients for review by combining 5 reporting categories into one spreadsheet
  • Combine 5 reporting categories into one file for compliance reports which include fuel, maintenance, registration, violations, and accidents for review
  • Develop reporting across all vendors and provide on a regular basis to management 
  • Analyze bridge rental report and prepare statistics and trends 
  • Develop efficiencies in process and procedures with continuous improvement as a goal 
  • Creates best practices for communication and services to stakeholders and vendors 
  • Provide support to the Client Services team as the subject matter expert for fleet process, procedures, status, and reporting by monitoring patterns and trends of questions 
  • Ensures appropriate files, reports and analysis are maintained in the fleet data lake 
  • Responsible for replies to shared mailbox concerning fleet questions and status 
  • Audit MTR weekly 
  • Troubleshoot data feed entry errors with key internal groups
  • Manage large complex projects to ensure timelines are met and product and services are delivered in a cost-effective manner 
  • Ensure adherence to fleet policies and procedures 
  • Provide backup for other fleet team roles when needed 
  • Special projects as assigned to support day to day workflows and projects

    • Defines, compiles and evaluates data of varying complexity to develop professionally prepared informational reports and recommendations on fleet management best practices 
    • Reporting presented monthly, quarterly, and weekly to ensure continuous improvement
    • Responsible for the data integrity of the assets
    • Analytical acumen 
    • Intermediate/Advanced skills in Microsoft Excel data formulas, charts, pivot tables and V-Lookup functions and the ability to learn new or proprietary systems
