You will lead timeliness and efficiency of projects and programs on the assigned client team and serve as an operational leader within the Integrated Media Team at Syneos Health.

You will create a thorough project plan all the way to its successful completion based on information provided by the clients and strategic integrated briefing materials. You own the process from inception to completion, including project set-up with clear parameters, creation of project schedule with team alignment, managing cross-agency resources for all deliverables, asset tracking, raising red flags as issues arise and ensuring adherence to the approval process, and delivering high quality work to brief on time and on budget within the approved staffing plan.

Additionally, in close collaboration with both media team leadership and operations leadership, you will contribute to the continued evolution of process and approach with the expectation of contributing to improvements in the Syneos Health strategic integrated media process. 

Process/Workflow Responsibilities 

  • Develop and keep up to date project plans and schedules, internal status, and client facing status documents
  • Lead Media projects/assignments, tracking milestones and owners and providing team with support across all clients
  • Ensure integration across agency teams at each step of the process
  • Complete project set up activities including timelines, critical paths, RACI(s), final list of deliverables, etc.
  • Set up and maintain folders on shared servers to house all program and project documentation; manage access to these folders 
  • Input project information into all project management tracking documents and workflow software solutions (status documents and trackers, Wrike environments, etc.). 
  • Schedule and lead project kick off meetings (as it relates to schedule, folder structure and location, scope of assignment, asset particulars, etc.)
  • Initiate and conduct internal review meetings and check-ins based on project schedules
  • Initiate and conduct team status meetings, including documenting and communicating risks and issues for internal purposes and sending recap notes.
  • Coordinate and facilitate version control and asset management/delivery of key products between internal creative teams and key media vendor partners during campaign development in partnership with media planning team 
  • Initiate and support selected media client discussions as needed including MLR reviews, media client status meetings, etc. 
  • Maintain staffing burn report to monitor employee project hours and trending and provide monthly direction to the team to manage burn rate
  • Coordinate with media leads on project initiation form tracking 
  • Maintain daily communication with cross-team members on all projects to determine and understand daily project status and generate daily hot sheets if needed
  • Coordinate and ensure quality processes and flag all issues or new opportunities for efficiencies and improvement

Timeline Management 

  • Communicate project plan and schedule to project/program team. Work with Account and Media teams to align and gain client approval. 
  • Utilize project management software, existing templates, team calendars, program calendars, etc. to create detailed timelines, Gantt charts, and calendars. Communicate key milestones to all internal and external project stakeholders. Ensure all appropriate stakeholder approval prior to project kick-off. Update timeline on an as needed basis and communicate updates to all stakeholders

Financial Responsibilities 

  • Work closely with project management leadership as necessary on fee and out-of-pocket estimates, budget, and financial reporting/tracking
  • Partner with Media team to develop and maintain budget-tracking and pacing/delivery reporting
  • Support the media billing team and help to maintain vendor invoice sourcing and tracking and status reporting

Essential Requirements:

  • Bachelor’s Degree in Marketing, Communications or another similar field 
  • 3-5 years’ experience in Project Management
  • Previous Media or client-side experience is a plus 
  • Previous pharma experience is a plus
  • Experience in Wrike or equivalent project management software solution a must  
  • Strong leadership skills

The annual base salary for this position ranges from $X to $Y. The base salary range represents the anticipated low and high of the Syneos Health range for this position. Actual salary will vary based on various factors such as the candidate's qualifications, skills, competencies, and proficiency for the role. In addition, some positions may include eligibility to earn commissions/bonus based on company and / or individual performance.
