This position will provide a full range of administrative support to VP in the Hospital Business Unit. This individual will support North America Medical Affairs (NAMA) US-based Teams.

  • Provide full administrative support to assigned colleagues to include managing complex and dynamic calendars, scheduling meetings, managing travel, filing expense reports, ordering supplies, and organizing files
  • Provide phone screening coverage; arrange for visitor passes and access
  • Coordinate activities for complex meeting and events including location selection, ordering food and AV equipment, managing/setting up AV equipment onsite, and handling issues for offsite meetings
  • Provide support for various team meetings including agenda development/distribution, meeting material coordination and distribution, presentations/WebEx management during the meeting, note-taking, inventory assessments/tracking/ordering, and managing internal SharePoint sites.
  • Organize and maintain electronic and hard copy files
  • Update team organizational charts and distribution lists
  • Assist with on-boarding of new colleagues
  • Support other teams within HBU Medical as needed
  • Serve as back-up administrative support for other Medical Affairs colleagues in their absence of their Administrative Assistants/Administrative Specialists


Job Requirements

Along with demonstrated initiative, uncompromised integrity and a results-oriented mindset, the ideal candidate has:


  • 5+ years of experience in an administrative assistant that demonstrates an ability to juggle multiple administrative responsibilities in a timely manner preferred but not required; Bachelor’s degree preferred
  • Ability to carry out administrative functions proficiently and complete quality work on time with limited supervision
  • Experience in budget and project management
  • Excellent verbal and written communication skills
  • Must be a self-starter, independent, proactive and self-motivated
  • Professional demeanor and ability to interact with all levels of the organization
  • Ability to use good judgment while working with sensitive and confidential information
  • Knowledge of client systems (travel, ordering, expenses) preferred
  • Expert of Word, PowerPoint, Excel
  • Excellent attention to detail
