Responsibilities

As a Sr. Fleet Client Transportation Analyst, you will focus on everything from managing transportation strategies, asset movement and tracking, direct client and internal fleets, working with Operations, and the development and support of new service offerings. Work directly with external clients, the field organization, executives and corporate to manage the movement of assets and required services. You will help ensure we are driving initiatives that make the fleet more cost effective.

This position is responsible for transportation strategies and determining the most efficient options in vehicle movement, and transfers. Managing direct client fleets by assigning assets, reviewing, and approving maintenance requests, providing support for billing, and developing reporting and analytics. You will also manage leased fleet vehicles including analytics, reporting and support related to the fleet of approximately 4,000 motorized vehicles located across the globe following required policy and procedures.

Functions as the subject matter expert in everything fleet related to support the direct clients and internal stakeholders.

Scope of Interactions:

  • 60% External – New and existing clients, and vendors
  • 40% Internal - Collaboration with Operations, HR, Executives, Risk, Sales, Corporate, Payroll, Leaves, Local and Global Team members

 


Job Responsibilities

  • Manage transportation strategies for most cost-effective movement of assets
  • Analyze transportation costs and provide detailed status reports of moves
  • Manage direct client fleets and strategically determine each client needs and replacement requirements
  • Develop specific procedures for direct clients to provide a smooth transition of services during onboarding and conversion
  • Provide support to the Operations team as the Subject Matter Expert for fleet process, procedures, status, and reporting by monitoring patterns and trends of questions as well as developing necessary training to assist Operations in understanding fleet
  • Provide, analyze, and audit weekly, monthly and annual fleet related reports (maintenance, mileage, fuel, violations, tolls, etc.) to key stakeholder
  • Presenting and helping to train the OPS team on fleet policy and procedures
  • Develop direct client driver training for new hires as well as updated training for existing drivers
  • Participate in weekly direct client calls to provide updates and discuss any open items or issues that arise
  • Manage and review client billing for accuracy and resolution of disputed invoices between client and Syneos Health
  • Manage billing rosters for preparation of monthly fee invoices for Direct Client
  • Help maintain the accuracy of the MTR concerning direct clients
  • Ensures appropriate files, reports and analysis are maintained in the fleet data lake
  • Responsible for replies to shared email box concerning fleet questions and status
  • Help maintain the accuracy of the MTR concerning vehicle assignments
  • Create KPI’s to measure success and possible improvement areas
  • Serve as an expert to help when needed to analyze new hire candidates and corporate driver MVRs to ensure they meet our driving record guidelines
  • Collaborate in the analysis of the current transportation process and driver communication and experience to determine more efficient processes
  • Manage and monitor the usage of fuel cards and submit fraud paperwork
  • Develop thorough knowledge of the fleet policies and how it applies to driver safety and responsibility
  • Analyze transportation condition reports for damage, and missing keys. Work with HR and former employee to insure property is returned or the company is compensated
  • Manage large complex projects to insure timelines are met and product and services are delivered in a cost effective manner
  • Proactive tracking and client alerts for known anticipated vendor performance gaps and safety recalls
  • Look for potential improvements in all aspects of the operation — fuel, maintenance, accidents, for any kind of opportunity to improve
  • Manage and monitor the maintenance and upkeep of fleet vehicles. Work with external vendors to assure compliance with preventative maintenance, vehicle inspections and driver compliance with vendor requests
  • Collaborate with Leaves team for all medical exception and ADA paperwork. Track all results to provide tracking of the required vehicle assignments.
  • Manage direct client roster and work with accident management company and fleet management company to provide updates and track training and vehicle assignments
  • Accountable for conducting accurate inventories of vehicles and personnel
  • Ensure adherence to fleet policies and procedures
  • Special projects as assigned to support day to day work flows and projects

Education 

  • Some college preferred

 

Skills

  • Minimum of 5 years of fleet transportation experience
  • Solid understanding and experience with a transportation company
  • Knowledge of the operating cost of fleet vehicles
  • Intermediate/Advanced skills in Microsoft Excel data formulas, charts, pivot tables and V-Lookup functions and the ability to learn new or proprietary systems
